Supporting the President of Raymond James Investment Management and the senior leadership team.
Perform a variety of administrative tasks aimed at optimizing the time and performance of the President and the senior leadership team. Tasks may involve acting as a first point of contact, dealing with correspondence and phone calls, managing calendars, organizing meetings and appointments, preparing written documents and slide presentations, arranging travel, and collating reports. Will involve dealing with confidential information.
Responsibilities:
• Ensures strict confidentiality in all matters.
• Serves as a liaison with other functional areas and external parties in the resolution of routine administrative and operational issues.
• Maintains highest level of professionalism as a representative of the President and the firm when engaging with other executives, divisions, associates, clients, and partners.
• Provides comprehensive executive support including managing calls, visitors, and inquiries.
• Composes and edits correspondence and/or memoranda from dictation, verbal direction or from knowledge of established policies.
• May prepare, transcribe, compose, type, edit and distribute agendas and minutes of meetings.
• Schedules and coordinates meetings, events, interviews, appointments and/or other similar activities, including coordinating travel and lodging arrangements.
• Prepares or assists in preparing management reports.
• Establishes, maintains and updates files, databases, records and other documents.
• Composes and prepares timely responses to a variety of routine written inquiries.
• Accessible to provide support to the executive outside normal business hours when necessary.
• Performs other duties and responsibilities as assigned.
Required Skills:
• Advanced administrative and organizational skills.
• Utilizes sound judgment and discretion.
• Proficiency in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint).
• Motivate and persuade others to achieve desired outcomes without organizational authority.
• Ability to organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment.
• Strong written and verbal communication.
• Ability to work independently as well as collaboratively within a team environment.
• Handle stressful situations and provide a high level of customer service in a calm and professional manner.
• Establish and maintain effective working relationships at all levels of the organization.
Preferred Skills
• Knowledge of investment concepts, practices and procedures used in the securities industry, and terminology of financial markets and products.
Experience and Education:
• High School diploma and (9) nine plus years’ experience in providing secretarial and administrative support to executives at a vice president/department head level.
