Position General Responsibilities:
The Compliance Officer supports the firm's compliance program and assists in maintaining adherence to SEC Registered Investment Adviser requirements. This position executes, monitors, documents, and reports recurring daily, weekly, monthly, quarterly, and annual compliance activities. Works closely with the Chief Compliance Officer, Chief Operating Officer, and Operations Team to support regulatory compliance, operational processes, risk management initiatives, examinations, and internal reviews.

Education, Experience and Certification Requirements

Minimum Qualifications:
1. Strong commitment to providing exceptional customer service.
2. Four-year college level course study/degree.
3. Two to five years of compliance, operations, audit, risk management, banking, brokerage, trust, or wealth management experience preferred.
4. Compliance certification (IACCP, CRCM or similar) preferred but not required.
5. Working knowledge of Word, Excel, Access or related software.
6. Demonstrated ability to provide information in concise verbal and written formats is essential for job success.
7. Experience in retirement planning (403(b), 401(k), Pension Plans) is advantageous.

Position Specific Responsibilities, Duties and Competencies
1. Federal Regulations Overall Compliance Function:
a. Maintain a working knowledge of SWM's written Policies and Procedures and Code of Ethics.
b. Strong knowledge of the Investment Advisers Act of 1940.
c. Maintain a working knowledge of federal regulations that apply to and concern this position's area of responsibility, including the Securities Act of 1933, Securities Exchange Act of 1934, the Bank Secrecy Act, OFAC, USA Patriot Act and various other Federal and State regulations as they apply.
2. Compliance Administration and Monitoring:
a. Assist the Chief Compliance Officer in administering and monitoring the firm's compliance program.
b. Maintain compliance calendars and monitor periodic regulatory deadlines.
c. Perform recurring compliance reviews and document results.
d. Maintain compliance records, logs, and supporting documentation.
e. Assist in preparing materials for regulatory examinations and audits.
f. Assist in updating compliance policies, procedures, disclosures, and regulatory filings.
g. Monitor completion of required employee attestations and compliance training.
h. Escalate compliance concerns, exceptions, or deficiencies to the Chief Compliance Officer.
i. Assist in tracking corrective actions and remediation efforts.
j. Prepare monthly, quarterly, and annual compliance reports.
3. Operations and Risk Management Support
a. Work closely with the Chief Operating Officer and Operations Team to ensure operating procedures align with regulatory requirements.
b. Participate in reviews of operational controls and processes.
c. Assist with vendor due diligence and monitoring.
d. Support cybersecurity, business continuity, and disaster recovery reviews.
e. Assist with operational risk assessments.
f. Help identify workflow improvements that enhance efficiency and mitigate regulatory risk.
g. Participate in projects involving operational and compliance process enhancements.
4. On-going Reviews of our Policies and Procedures includes:
a. Update and maintain our regulatory files, reporting and disclosure documents.
b. Update and maintain all advisory agreements, including the financial planning engagement letter and the ERISA plan agreements.
c. Various account and transaction reviews.
d. Complete pricing and fee reviews.
e. Risk assessments, including cybersecurity and disaster recovery incidents.
f. Trading practices and investment objective reviews, including restricted and watch lists.
g. Vendor and third-party due diligence.
h. Books and records, email and correspondence reviews.
i. Review and approve all marketing materials, including brochures, commercials, social media, website and RFPs.
j. Ongoing branch office reviews.
k. Review and respond to complaints.
1. Review conflicts of interest, outside business activities, personal securities, political contributions, gifting, and expenses periodically.
5. Special Projects:
a. Participate in compliance and operational improvement initiatives.
b. Assist with regulatory filings and annual compliance reviews.
c. Support policy updates, testing, and documentation projects.
d. Assist with RFP compliance reviews as needed.
e. Other duties as assigned.
6. Public Relations:
a. Promote the improvement of Stockman Wealth Management through quality customer service, promotion of products, professionalism in conduct and diligent work ethic.
b. Greet all customers pleasantly and make them feel welcome and comfortable.
c. Effectively handle customer questions and problems.
d. Represent SWM in community activities as agreed to with manager.
